Leave the meeting with the file note already drafted.

Verbato writes a file note from the recording of your client meeting. A file note, or attendance note, is a lawyer's record of a client meeting or call: the facts given, the advice and the instructions, kept on the client's file.

For lawyers who keep a note of every client meeting and call.

    Client

Couldn't we just go straight to a claim?

  2. 27:09
    Lawyer

We could. The risk is a counterclaim over the defect they allege.

  3. 27:20
    Client

    All right.

  4. 27:22
    Lawyer

Then I need the delivery note and a copy of the invoice from you. Can you get those to me by the sixteenth?

  5. 27:30
    Client

By the sixteenth of May, yes.

  6. 27:33

And I'll draft the letter of demand.

Meeting details

14 May, 10:00, 35 minutes, in person. Attendees: Ms Elena Ruiz ("the Client"); Mr David Okoye, solicitor.

Purpose

To take instructions on an unpaid invoice owed to the Client by Harlow Fittings Ltd ("the Debtor").

Facts and discussion

The Client delivered shop fittings to the Debtor on 3 February. Invoice no. 0412 for £18,640.00 was issued on 5 February, payable within 30 days. The Debtor paid £5,000.00 on 20 March; £13,640.00 remains outstanding. The Client believes the Debtor is withholding payment over an alleged defect it has not put in writing.

Advice given and instructions received

Advice: Mr Okoye advised sending a formal letter of demand before any proceedings.

Information: the Client was told the firm's fee for the letter.

Instructions: the Client instructed the firm to send the letter this week.

Options and risks discussed

Proceeding straight to a claim was discussed; Mr Okoye flagged the risk of a counterclaim over the alleged defect. (appears in this excerpt)

Action points

  • Send delivery note and invoice copies — the Client — by 16 May. (appears in this excerpt)
  • Draft letter of demand — Mr Okoye — deadline not stated. (appears in this excerpt)

How your file note is written

  • Advice given, information provided and the client's instructions are kept apart.

  • Dates, amounts and names are exact, never rounded or approximated.

  • What the client believes is recorded as a belief, not as a fact.

  • No law, case or authority is cited unless it was said in the meeting.

Your format, not ours

The sections of your file note and the way it is written are yours to change. To fix a document, say what is wrong in your own words.

  1. 1You correct it

“Call the Action points section ‘Next steps’.”

That file note changes. Nothing else does.

  2. 2You say it again

Make the same correction on a later file note and Verbato asks: “You've changed this before. Always?”

  3. 3You decide

Answer “Always” and it is kept as a rule, applied from your next file note on. Answer “Just this once” and nothing is kept. Documents already written stay as they are, and nothing becomes a rule unless you confirm it.

  4. 4Your rules

I call the “Action points” section “Next steps”.Undo

Every rule you have kept is listed, and you can undo any of them. An undone rule stops applying from your next file note.

How it works

Upload a file, paste a link, record in your browser, or send a voice note by Telegram or email. Verbato makes a word-for-word transcript, which you can edit and which stays beside the document. Your file note is written from it, in minutes.

Recording limits

A recording made in your browser can run up to 30 min on every plan; a longer session goes in as a file you upload. A free account takes recordings of up to 40 min each; for longer ones, see pricing.

Your recording

Deleted after 7 days by default, together with its transcript and documents. You can keep a project longer, up to your plan's limit. Deleting a recording leaves a receipt you can download. Nothing you record is used to train or improve AI models.

Questions about the file note

Does Verbato add advice or legal analysis to the note?
No. The note records the advice you gave and stops there. It is work product for your review: Verbato creates no advice of its own, and you remain the author.
Can I dictate the note after a call instead of recording it?
Yes. Record the meeting or the call, or dictate your own account afterward. Either way the note is written from what the recording contains, and a detail you did not state is left out.
Does one meeting give me the file note and the client letter?
Yes. A recorded consultation comes back as both: this note for the file, and a follow-up letter that recaps the meeting for the client. Each is written from the same transcript.
Does the note record how long the meeting lasted?
When you state it. Date, time, duration, method and attendees appear in the meeting details as they were said on the recording. A detail nobody stated is never worked out: it is left out, or marked as not stated.

Record the meeting. Check the note. Put it on the file.
