Before you give Verbato a recording with patients, clients or anything else sensitive in it: who can see it, how it is handled, how it ends, and what Verbato does not do.

Who can see them

  • Nobody reads your recordings. Nobody at Versa Studio, the company that operates Verbato, reads your recordings, transcripts or documents. The exceptions are support, when you ask for it and give your consent, and where the law requires it.
  • Never used to train models. Your recordings and documents are never used to train or improve models. This holds for every model Verbato uses.

How they are handled

  • Encrypted, always. Your recordings, transcripts and documents are encrypted in transit and at rest.
  • Processed in the US and Canada. Your recordings, transcripts and documents are processed and stored in the United States and Canada.
  • The transcript is literal. The transcript does not hide names or other personal details. It is the literal record of what was said. You can edit it, segment by segment.

The companies that process them for Verbato, and what each one does, are on the subprocessors page.

How they end

  • Delete anything, any time. You can delete a recording, its transcript and its documents at any time. Otherwise they are kept 7 days, or longer if you choose, up to the limit of your plan (from 7 to 365 days), and then deleted. Without an account, a recording is deleted after 24 hours.
  • Gone with your account. If you close your account, your recordings, transcripts and documents are deleted with it.

What Verbato does not do

  • Verbato does not sign Business Associate Agreements (BAAs), and claims no HIPAA compliance or any other certification. If your work needs a BAA for a recording, do not upload that recording.
  • Verbato does not decide whether you may record a conversation and have it processed. The notice and consent the law asks for are yours to give and to obtain (Terms of Service, §6).
  • Verbato does not give advice. Everything it produces is a draft for a person to check, and you remain the professional of record (Terms of Service, §7).

The details are in the Privacy Policy and the Terms of Service.
