Refund & Cancellation Policy

Verbato is a service operated by Versa Studio LLC, a Wyoming limited liability company. This page says exactly what happens when you cancel and exactly when you get money back, so that neither of us has to negotiate it.

One thing shapes all of it: hours are the only thing we meter, and an hour is spent the moment we transcribe it. Documents, regeneration and exports are never metered. That is why the rule below refunds what you have not used rather than refunding everything or nothing.

Cancelling

You can cancel yourself, at any time, from Settings → Plan & usage → Billing & subscription. There is no form to fill in and nobody to email.

  • You are not charged again.
  • Your plan keeps working until the end of the period you have already paid for. The end date is shown on that same tab.
  • When that date passes, the account returns to the Free plan. It is not deleted.
  • Moving from a paid plan down to Free is a cancellation, and works the same way.

What happens to your hours

  • Your monthly allowance is granted per period and does not roll over. Hours you did not use in a period do not carry into the next one, whether or not you cancel.
  • Top-up pack hours are lost when a subscription ends. If you bought a 3-hour pack and have hours left in it when your plan lapses, those hours go. We would rather say so than surprise you — and it is why, once a cancellation is pending, we refuse to sell you a pack at all instead of taking money for hours that are about to be voided.
  • If you change plans mid-period, the allowance moves and your usage does not. Upgrading credits you the difference; downgrading reduces the allowance. Hours you have already used stay used either way.
  • Recordings you already have are not affected by any of this. Each project keeps the retention window it was created with. See the Privacy Policy for how long that is and how to change it.

The refund rule

Within 48 hours of a monthly charge, or 14 days of an annual charge, you can cancel and get the amount you paid back, less $1 for each audio hour you transcribed in that period.

This applies to every charge, including renewals— not only your first one. If a renewal catches you by surprise, you have the same window you had at the start.

Only hours are deducted. We do not also charge you for days elapsed, and we do not round the hours up to something convenient: the figure is the audio time your account actually consumed, the same number the app shows you.

For example: you subscribe to a monthly plan, transcribe two hours of audio, and cancel the next day. You are refunded what you paid less $2 — two hours at $1 an hour.

Outside that window we do not give refunds, except where the law requires one. You can still cancel at any time and keep your plan until the period ends.

What is not refundable

  • Hours you have already transcribed.Transcription is not reversible and it is not free to us — the moment your audio is processed, we have paid a provider for it. Deducting those hours is what lets us refund the rest without conditions or argument. The rate we deduct at is the same one we publish for metered hours, so you are never charged more for an hour by cancelling than you would have paid by staying.
  • Top-up packs. A $5 pack of 3 hours is a one-off purchase and is not refundable.
  • The Free plan. There is nothing to refund, and nothing to cancel.

How to ask

Email support@verbato.io from the address on your account and say you want a refund. You do not need to give a reason. We reply within 3 business days.

The window is judged by when you write to us, not by when we reply. If your email arrives inside the window, you are inside it, even if our answer comes after it has closed. Refunds go back to the card that was charged, through Stripe; how long your bank takes after that is up to your bank.

If a payment fails

We email you when a payment fails, and your card issuer is retried automatically over the following days. If it never succeeds, the subscription ends the same way a cancellation does: the account returns to Free, and any remaining top-up pack hours are voided.

Nothing is deleted because a payment failed. Your recordings and documents continue to follow the retention windows described in the Privacy Policy, which are the same before and after.

If we change prices

We will email you before a price change affects you, with enough notice to cancel first if you would rather not pay the new price. A price change never applies to a period you have already paid for.

Chargebacks

Please write to us before asking your bank to reverse a charge. If a refund is owed under the rule above we would far rather pay it than dispute it, and we can usually do so in less time than a bank takes to open a case.

A chargeback opened without contacting us first may lead to the account being suspended while the bank works through it, because we cannot keep providing a service against a payment that is being reversed.

Your rights under local law

Where the law where you live gives you a right to a refund, or a right to withdraw from a purchase, this policy does not replace it. The rule above is what we offer on top of whatever those rights already give you.
